Office Manager (SOC: 43-3031, 43-3051)             

SUPERVISOR:  Director of Operations

PURPOSE:  The office manager, a professed believer and follower of Jesus Christ, performs a variety of financial, database and administrative functions to enhance the smooth day-to-day operations of the church.

In addition to the responsibilities listed below, the office manager must uphold the United Methodist policy and doctrine as well as local church policy, growing and maturing as a disciple of Jesus, and leading others off toward a deep inner life with Jesus.

RESPONSIBILITIES

In the area of financial record keeping, the office manager will:

  • Maintain database information including accounts payable and budget reports.
  • Maintain financial records, post journal entries for every financial transaction of the church.
  • Conduct a monthly reconciliation of every bank account and periodic reconciliations of all accounts.
  • Enter payroll financial information into the accounting system.
  • Maintain records for 1099 payees, issue end-of-year statements, and timely meet all required tax filings.
  • Execute EFTs as authorized by management.
  • Maintain the petty cash fund.
  • Disburse payments to suppliers, other vendors and credit card companies after obtaining proper approval of invoices; creating checks; and obtaining authorized signatures.
  • Participate in the monthly evening meeting of the finance committee.
  • Issue financial statements for review by the director of operations and the finance team.
  • Assemble information for the annual audit (agreed upon procedures) performed by an outside auditing firm and assist with any inquiries.
  • Maintain the chart of accounts, as well as an orderly accounting and vendor filing system.
  • Ensure sensitive documents are either stored properly or shredded as necessary.
  • Assist as needed in annual budget preparation, and routinely report significant variances to management.
  • Collect sales taxes when necessary and remit timely to appropriate government entities.
  • Manage donor activities; including processing electronic giving, updating database, issuing weekly reports and information about extraordinary gifts to management, and processing annual donor statements.
  • Serve as a resource to assist money counters with any relevant issues that may arise.

In the area of payroll processing, the office manager will:

  • Analyze monthly timekeeping records, resolving any discrepancies and creating the batch for processing.
  • Update records with applicable changes in pay rates and/or benefits information.
  • Prepare monthly reports from payroll system for each payroll run.
  • Assist employees with any payroll questions, including training and ongoing use of payroll system.
  • Work with director of operations to ensure all current payroll policies and procedures are appropriate.

In the area of office management, the office manager will:

  • Monitor office supplies and order as needed, including, but not limited to, general office and cleaning supplies, laminating machine supplies, copier toner, the bulk mailing account and the postage meter.
  • Retrieve morning mail; addressing financial items and delivering remainder to receptionists for distribution.
  • Post outgoing mail related to financial matters and ensure they are sent out.
  • Provide clerical and administrative support to senior pastor as requested.
  • Coordinate church calendar by reviewing room reservations and upcoming events.
  • Assist in a team environment by answering the phone if the receptionist is not available; assist with church member or visitor inquiries if necessary, and fulfill other appropriate tasks as assigned.

SUPERVISION DUTIES: Assist in supervision of volunteer money counters and receptionists.

FINANCIAL RESPONSIBILITIES:  Financial responsibilities for monitoring the approved budget, expenditures incurred and giving.

EDUCATION, EXPERIENCE and QUALIFICATIONS

  • Associate’s or bachelor’s degree in related fields highly desirable.
  • Minimum of three years’ experience
  • Must pass a state police background check, a FBI fingerprinting check and the state Childline child-abuse record check.
  • A physical and drug screening are required for employment.
  • The incumbent must remain current with the church’s safe sanctuary policy that requires an annual update.

COMMUNICATION SKILLS

Strong professional communication skills in both verbal and written formats are required. Professed faith in Jesus Christ. Good computer skills in a variety of software applications. Accounting experience and ability to do financial statements and budgets. Knowledge of database administration and maintenance. Ability to work well with people including staff, church teams and individuals. Good organizational skills. Ability to maintain confidence and privacy of information.

Pianist

SUPERVISOR: Director of Worship

Part-Time Lay Staff: 10-12 hours per week

Nonexempt

In addition to the responsibilities listed below, the Pianist must uphold the United Methodist policy and doctrine as well as local church policy, growing and maturing as a disciple of Jesus, and leading others off toward a deep inner life with Jesus.

RESPONSIBILITIES

  • Working in conjunction with the Director of Worship and the pastoral staff, assist in choosing appropriate service music for weekly worship, taking factors into consideration such as sermon topic, liturgical season, chosen scripture passages, etc.
  • In conjunction with the HUMC organist, provide accompaniment (hymns, doxology, etc.) and service music (preludes, postludes, offertories, communion music, etc.) as needed for the 8:30 AM traditional service
  • Play piano prelude music for the 10 AM contemporary service
  • Depending on the skills of the candidate, occasionally serve as pianist in the 10 AM worship band (optional)
  • Accompany the choir at rehearsals (currently Mondays 7-8 PM) and in worship. The choir currently sings about 6-8 times per year, though this could increase.
  • Provide accompaniment for special music at Sunday services (8:30 AM, 10:00 AM) and occasional special services (Ash Wednesday, Holy Week, Christmas Eve, etc.)
  • As needed, provide music for weddings and memorial services

 

SKILLS NEEDED

  • A pianist who is skilled both as a soloist and an accompanist
  • A strong sight-reader
  • Familiarity and comfort with a range of musical styles, from classical music and hymnody to popular contemporary styles
  • Preference to candidates who can transpose, improvise, play by ear, and/or read chord sheets if needed

 

EDUCATION

  • A bachelor’s degree is preferred; candidates without a degree but with requisite skills and experience may be considered

Group-Fitness Instructor

Part-time, Hourly. Up to two hours a week

We are seeking a certified group-fitness instructor for our Motion & Devotion group exercise program and potentially teach a permanent evening class.

We are open to any type of cardio/strength/stretching class including Step, Zumba, Pilates. The position also involves leading a short Christian devotion for the class.

The instructor must be certified. More information about the position can be found in the job description.
